AI audit · GreenTech Painting

The bottleneck wasn't quoting. It was retyping the quote.

GreenTech's invoicing, bookkeeping, and payroll all run themselves. Quoting and leads don't, because the pricing judgment behind them has never left the owner's head, and GreenTech is about to franchise that judgment to people who don't have it.

The problem

Every pricing decision, primer, finish, coats, grouping, already gets made correctly on site. The real bottleneck sits one step later: retyping the whole handwritten site sheet into the quoting tool, line by line, before it can calculate anything.

The bigger risk is structural. GreenTech is preparing to franchise, and everything documented already runs on a system a trained person could follow. Everything undocumented, which is most of quoting and lead handling, still runs through one person's memory.

What we proposed

The fix we'd build first doesn't touch the pricing tool at all: a draft step in front of it that turns a photographed, tablet-entered, or spoken site note into structured, grouped line items and fills them into the existing quoting software. The owner still reviews and sends every quote exactly as before.

Underneath that sits the real unlock: writing down the pricing rules that currently exist only as judgment calls. Once written, they're what makes the AI draft trustworthy, and what a franchisee can eventually follow without a phone call.

Two more fixes round it out: a single dashboard pulling all eight lead sources into one pipeline with automatic follow-up reminders, and reactivating Yelp as a lead source now that it passes real phone numbers again, something that quietly changed in April 2026 after the business had written it off.

The result

Invoicing already runs itself. Quoting still runs through one person's memory.
